This notice explains how we process personal data when receiving and responding to enquiries and messages submitted through a form, chat, email or telephone.
Who is responsible for your data
The data controller is RR Cleaning Services s.r.o., company registration number 19459661, with its registered office at Na Čečeličce 425/4, 150 00 Prague 5 – Smíchov, Czech Republic.

What data we process
We process information you provide in your enquiry and subsequent correspondence. Depending on your request, this may include your name, company name, email address, telephone number, property location, requested service, property type and floor area, cleaning frequency, preferred date and message content. If you send us photographs or other attachments, we also process their contents.
Services used to operate and protect the forms may process your IP address, submission time, browser information and related operational logs.
Providing your data is voluntary. Without the contact details and service information needed to handle your request, however, we may be unable to reply or prepare a quotation. Please provide only information relevant to your request. You may leave optional fields and attachments empty.
Why we use your data and our legal bases
- Assessing your enquiry, preparing a quotation and arranging a service: where you are the prospective contracting party, the legal basis is taking steps at your request before entering into a contract under Article 6(1)(b) GDPR. Once a service is agreed, necessary processing is based on performance of the contract.
- Communicating with company representatives and responding to general questions: the legal basis is our legitimate interest in handling business correspondence under Article 6(1)(f) GDPR.
- Proportionate retention for follow-up discussions and protection of legal rights: the legal basis is our legitimate interest under Article 6(1)(f) GDPR. We retain only information needed for that purpose.
- Meeting legal obligations, such as responding to a request to exercise GDPR rights: the legal basis is Article 6(1)(c) GDPR.
We do not use contact details obtained from enquiries for newsletters or bulk marketing emails. Marketing consent is not required for us to respond to an ordinary enquiry.
Who processes your data
Enquiries are handled by authorised personnel of RR Cleaning Services s.r.o. We use the following providers to operate the website and deliver messages:
- Webnode – website and email services. The provider is Webnode AG, Switzerland; daily operations are handled by Webnode s.r.o., Czech Republic. See Webnode's Data Processing Agreement for details.
- Web3Forms, operated by Web3Creative, India – receiving, processing, storing and delivering form and chat enquiries to our email inbox. The provider uses infrastructure and spam protection suppliers listed in its Data Processing Agreement.
Where required by law, we may disclose necessary information to the relevant public authority.
How long we keep your data
For enquiries that do not result in an order, we have set a retention period of no longer than 12 months after the last communication about that enquiry for the related email correspondence and attachments. This allows us to follow up on previous discussions. We delete correspondence and attachments that are no longer needed when that period expires.
We have set the retention period for submitted records in Web3Forms to one year from submission. Subsequent email correspondence follows the separate period described above.
If a service is agreed, we retain the information necessary to perform it until the contractual obligations have been settled. Information required to meet a legal obligation is retained for the period required by that obligation. Where specific correspondence is necessary to establish or defend a legal claim, we retain the relevant part until the applicable limitation periods expire; if proceedings are underway, until their final conclusion and settlement of the related obligations.
Processing outside the European Economic Area
Webnode AG is based in Switzerland, which benefits from a European Commission data protection adequacy decision.
Web3Creative operates from India and its services may also involve processing in other countries outside the European Economic Area. Its Data Processing Agreement incorporates the European Commission's Standard Contractual Clauses for relevant transfers. Details of these safeguards are available in the Web3Forms documentation. You may also request further information or a copy of the relevant safeguards at info@rrcleaning.cz.
Your rights
Subject to the conditions in the GDPR, you may request access to, correction or erasure of your personal data, or restriction of processing. You also have a right to data portability in the circumstances specified by the GDPR.
You may object to processing based on legitimate interests on grounds relating to your particular situation.
Send requests to info@rrcleaning.cz. You also have the right to lodge a complaint with the Czech Office for Personal Data Protection.
Website cookie settings
The website also uses Google Ads to measure submitted enquiries. This measurement is a separate processing purpose from responding to your message. You can open the cookie category choices using the Cookies link in the website footer. Information about how Google handles data from partner websites, including the address of the page visited and your IP address, is available in Google's privacy information.
